So, you have had your Exhibitor Hub built and personalised by our Exhibitor Services Team. Now it is time to test it to make sure you are happy!

Some Hubs require mandatory fields before accessing your Hub. An example of this would be Company Profile needing to be complete before being able to access the rest of the Hub. If this applies to your show, please go to 'Company Profile' section before rejoining at the 'Homepage' section. Another example would be the Privacy Policy being agreed to with a tick box question before being able to access the Hub fully.

For any amendments, please use the amendments doc provided by your ERM/ESM. 

Disclaimer

If you have requested any changes in wording across your own show’s hub, including different languages, this will not show in this guide’s screenshots. This is a tester UK based basic hub used for imagery. 

  

Home Page

This is your Hub’s home page. You may or may not have all these tiles included, as it will be personalised to your show’s requirements. The hub banner, colour scheme and tiles are something you need to check are correct in accordance with your event.

Company Profile

To test your company profile creation, you need to select this tile on your Hubs homepage (unless mandatory completion before full access, then this page will be the first to appear).

There are two types of profiles, full or mini. You will need to complete all sections that are required and submit this. If this is a requirement before accessing the rest of the hub (Pending profiles) you will need to complete this fully before the rest of the hub becomes available for testing. Ensure your hub has the correct Company Profile type (Full or mini). 

 

Registering a Badge  

To test registering a badge, you need to select this tile on your Hubs homepage.

Once selecting this you will be guided to this page. Once any badges are created, they will be listed here for you.

Once there you need to click 'Create'.

Fill out the form with the details required, like the example above. All sections are mandatory except from Mobile Number. Once completed select 'Save Badge' at the bottom of the page.

You will get this pop-up banner if successful.

Every badge you register will then show here. You can also edit or resend emails by clicking the three vertical dots under Actions.

The email address you registered a badge for will then receive a Badge Confirmation email, please check your spam if this does not show in your inbox. In this email,you will be told the next steps for accessing the event (PDF, Collect on-site, digital wallet). Alongside this there will typically be show opening times, build up/breakdown times and other important show information relevant to your own requirements (Badge Types, Areas, Allocations, Visa’s etc). Please check this email for details being correct, links work and the appearance

 

Additional Badge Allocations

(This does not apply to every hub.)

If you have a badge allocation limit, then this will appear on your Hub on the 'Register a Badge' section like below.

If there is the option for exhibitors to purchaseadditional badge allocations, you need to firstly check the appearance, badge type and price is correct. This can be displayed as a button or a grid, see both examples below.

To test this works correctly in your 'Register a Badge' section of your Hubadd it to your basket or press the button (text is customised) and you will receive a banner letting you know it was successful. 

 

Go to your basket, check the product, price and VAT are correct for your show. For testing purposes your ERM/ESM will create and share with you a FOC discount code which you can add to the Discount Code box. This code will reflect in your basket showing total cost £0.00 and you will get a timed banner showing successful in the top right-hand corner. Press Checkout and complete your details.  

The email address you registered a badge for will then receive an email, check your spam if this does not show in your inbox. Please check this email for details being correct, links work and the appearance. 

 

Invite Guests 

To test inviting guests, you need to select this tile on your Hubs homepage.

It will take you to the page below. You can send invites different ways, but for the purpose of testing the Hub you click the 'Invite via email' button. A pop-up window will appear which you complete. The email is mandatory however an additional message is optional. You then send this and check your inbox/spam, ensuring the email template works and is of the right appearance.

Inviting guests with discounted invites 

This is not mandatory for every hub

Send the invitation to yourself, after checking the email over copy the link and open this in a private/incognito browser. Check the page over to ensure details in the inviting sentence are correct.

Select Register Manually  'Continue'  button and you will be taken to a form to complete. 

 

Add in the details required for a tester profile. This form can vary in questions and lengtdepending on your shows requirements and requestsYou will receive the green banner belowonce completing the first stageYou can then move through the form to register youtestevisitor badge. 

 

Your ERM/ESM will provideyou with a discount code to test withWhen applying the discountit will appear like this in your basket.

 

SmartScan  

This will appear in different ways depending on your show’s requirements.  

Purchasing  

If SmartScan is being sold, then you will need to select this button on your Hubs homepage for testing.

You will be taken to a page like this. SmartScan+ may or may not feature depending on your show. Please check the pricing and select Add to Basket for SmartScan. You will see a success banner pop up like below.

By pressing Go to Basket you will be taken to the below page. Please check the price and VAT amount is correct. Your ERM/ESM will provide you a discount code for testing, which will deduct the total cost, pop this in the Discount Code box and press the tick button. 

You will get a pop up top right corner to say it was successful, and your basket will now total £0.00. You are able to now check out.

Please fill in these details and select Place order, this will then apply it to your Hub.

Once this has been completed and you have SmartScan added to your Hub, you are now ready to test setting it up to ensure it works as intended for your show. 

 

Mandate or Purchased 

Select this tile from your Hubs homepage.

It will lead you to this page, the last two tiles with SmartScan+, this tile will only appear if this is included upgrade within your show. You can go into each of these tiles and test that you are able to add questions, preview the guide, onboard your team and view the FAQ’s.

You will now also see this tile appear on your Hubs homepage. Please let us know if it does not.

Marketing Materials  

To test the marketing materials, you need to select this tile on your Hubs homepage.

There are two different marketing material types, standard and dynamic. Standard is a basic download; you will need to check these downloads and opens ok. The image titles can also be changed if requested so please check you are happy for this.  

Dynamic images can pull through Stand Numbers and Company Names as specified so check you are happy with the look of this on your supplied images. 

 

Note

Please note for the Dynamic images, we need enough space to pull through the stand number - the smallest size where we can usually do this is 728x90 / 600x150, anything smaller and the text does get cut off.  

 

Dynamic images also have an additional feature where your IT department can embed a HTML code which is provided to track traffic to the Hub.

Need Help

To test the need help page, you need to select this tile on your Hubs homepage.

These can be in different formats. If you have provided text for this page which features email addresses, ensure each of the email addresses when clicked take you to your mail app to start an email. Also ensure there are no typo’s and you are happy with the text layout and appearance. If you have a SmartScanmandate, there should be no mention of Invoices in the questions/responses. Our standard design is shown below, check the link works and you are happy with the questions/queries provided and covered. If you have had any personalised ones added ensure they are correct on the need help form.

Privacy Policy

To test privacy policy, you need to select this tile on your Hubs homepage.

Standard text for this is shown below, you just need to check that the client’s name and link to privacy policy is correct for your show. If you have provided different text or want it to be a direct link to a site instead, please check this is correct.

Bespoke/additional Tiles or logic    

If there are any additional tiles added please ensure these work and match your show appearance, an example of this would be Exhibitor Manual tile. If you are including areas in your show, please check that any content is filtered by the area correctly.
